Customer Context
Business Context
Intrepid has ~300 active Kaptio users on Group Touring. TailorMade adds ~30 users (Sales) plus DMC users who are also internal Kaptio users fulfilling operational steps. Anu Karunatilaka (VP) sponsors the program; Richard Wise is GM. TM is defined as "one-off, single departure" trips — everything repeatable is External Brands. Anu's vision: TM should function like Audley Travel. The existing org already has significant TM infrastructure: 66 Tailor-made channels, an Intrepid Morocco Business Unit, a dedicated FIT price list, and a Morocco loading profile. What's missing is the product layer — packages, services, and quoting workflows. Pilot: UK market selling Morocco DMC product, Q4 2026 — more realistic than Q3.

Competitive Context
Already on Kaptio for Group Touring. TM leverages existing org, data model, and team knowledge.
Assumptions
- •Packages locked (Mar 3). Single package per itinerary. Package Search + Itinerary Builder, no Booking Wizard for TailorMade at all. Kaptio supports setup of initial ~10 packages, Intrepid builds the rest
- •Pay Per Passenger (PPP) confirmed as pricing approach (Mar 12, reconfirmed Mar 20 with caveats: careful default margin setup, group pricing bands by pax count, separate pricing for optional upgrades)
- •CRM handover is an MVP dependency — Intrepid SF CRM org → Kaptio org. Technical contact identified: Ruwantha Lankathilaka. No concerns over mapping to Starship Opportunities (workshop covers this, not SOW-dependent). Seamless booking shell creation UX and booking ref format are workshop items
- •Permissions and permission sets: Intrepid leads; Kaptio supports. Must extend the permission structure delivered in Group Touring Phase 2b/2d
- •AR/AP managed manually — Kaptio exports payment + invoice files for D365 upload. D365 import template to be provided during detailed discovery (not blocking SOW). Phase 3 brings full integration
- •Edge Docs for all TM documents — PandaDocs interim rejected (Mar 3). Option A — content in Kaptio; work starts Phase 1, completes Phase 2. Intrepid leads design and content load; Kaptio models/maps storage
- •Content loading: led by Intrepid, Kaptio supporting — Kaptio defines where content lives for documents; Intrepid loads/inserts MVP content
- •Adyen via Kaptio Pay — existing merchant accounts and integration. Payments in Phase 2 per Ragnar (Apr 2026)
- •No Starship, no Elements for TM — confirmed bypass (Mar 3)
- •Itinerary-level margin control for MVP via channel MarkupJSON and quantity minimums on service prices. Manual sell price override per service (ManualSellPrice__c). Price breakdowns by category deferred. Sliding-scale margin deferred. Intrepid acknowledges bulk margin change limitation and will design pricing structure to minimize consultant overrides
- •Cancellation: legacy flow for TM; customer cancellation policies in scope. Supplier cancellation workflow is Operational Itinerary–only — OOI for TM MVP. PLPP off initially; Cycle 15 Channel/Itinerary PLPP for Phase 3 Group Touring (R010 corrected). No Booking Wizard for TM
- •Vouchers deferred from pilot. Promotions technically work with PS+IB (code-verified Mar 13) but deferred from pilot to keep pricing simple — can enable post-launch without rework
- •Flight placeholders deferred from pilot
- •BU/Channel structure used as-is — existing TM channels per DMC Business Unit, no changes
- •Morocco DMC primary for pilot — UK source market, ~30 TM specialist users plus DMC users (internal Kaptio users fulfilling operational steps). ~10 packages (exact count during discovery). Scope: services that make up the Morocco pilot packages (may include Spain/Portugal for multi-country). Target Q4 2026 — more realistic than Q3, though still a demanding timeline
- •TM cost/pricing loading required (excluded from Phase 2B import). Data loading: bulk or manual, Intrepid leads with Kaptio supporting. Manual entry is Intrepid's responsibility
- •DMC content requires central editorial oversight before publishing
- •TM MVP pilots through Q4 2026 timeline before broader Phase 3 alignment. Minimize throwaway work
- •Staged DMC onboarding — core destinations first, not all at once
- •On-request packaging model — no fixed inventory at launch. Supplier bookings handled by DMC users (internal Kaptio users) line by line via Supplier Bookings tab, supported by reports and exports
- •Reporting requirements still pending — Intrepid cannot provide in time for SOW. Still determining if essential data is in SF or DWH. SOW should scope reporting as discovery-dependent. If DWH integration is required, Intrepid owns/manages it (Kaptio consults). For SF reports, Kaptio creates example/template reports that Intrepid clones and adjusts. Waiting on their clarifications
- •Stacking confirmed to work with payment schedules and the MVP cancellation flow (Mar 26, Caine). Available post-MVP without rework
- •SOW must be agreed by end of March 2026 — Richard travelling 3 weeks then on leave Apr 6-17
- •Booking reference number format needs documentation — Intrepid wants to understand generation logic and whether format is configurable (cross-cutting: affects TM and Core)
- •Combo Trips, operational itineraries, and TM vs Group Touring selling itinerary differences — Caine resolving as a training piece
- •DMCs are internal Kaptio users — TM itineraries have both Sales users (selling) and DMC users (fulfilling operations) within Kaptio. For MVP, supplier comms managed by DMCs outside Kaptio with statuses updated in Supplier Bookings. No automated supplier email/link confirmation scope; enable-supplier-connectivity outcome excluded. Any CoreDev extension is subject to internal discussion (Rebecca, Mar 30)
- •Data migration (AS013): if referenced in SOW, means booking/itinerary customer data cutover needs if they arise — not supplier/service/pricing catalog loading (Intrepid leads catalog load with Kaptio support)
- •SoW R010 retired (Apr 2026): prior org-only assumption incorrect — Channel/Itinerary-level controls remove the material conflict risk for PLPP-related planning

Implementation Phases
3 phasesPhase 1: Foundation & Product
TM record types, permissions (Intrepid-led), supplier/service catalog, package building, pricing, CRM setup, quoting workflow, Edge Docs kickoff (design + content model)
Product layer: packages, services, pricing, quoting. Edge Docs kickoff (storage + design) runs in parallel from Phase 1 — see deliver-sales-proposals; completed in Phase 2. No supplier connectivity — DMCs use Supplier Bookings.
Phase 2: Booking Workflows & Go-Live
Booking confirmation, passenger management, Edge Docs completion, Kaptio Pay, reporting, UAT, training, pilot launch
Edge Docs completed (started Phase 1). Adyen via Kaptio Pay (existing integration, Phase 2). Pilot go-live Q4 2026.
Phase 3: Expansion
Additional DMCs and source markets, flight placeholders, automated comms, financial reconciliation, CMS integration
Post-pilot. Flight-inclusive TM (Richard keen). Broader DMC rollout. CMS integration. Content management aligned with Phase 3 Group Touring decisions.
Risks & Next Steps
Known risks and open questions that need answers before finalizing.
Risks (13)
CRM data integration is an MVP dependency — technical scoping not yet done
Mitigation: RESOLVED (Mar 26, Caine): No concerns over mapping to Starship Opportunities — detailed workshop will cover this, not SOW-dependent. Technical contact: Ruwantha Lankathilaka. Intrepid owns integration, Kaptio provides data contract. Seamless booking shell UX and booking ref format remain workshop items. Downgraded from high — CRM mapping concern removed.
Reporting requirements not ready for SOW — Intrepid explicitly flagged this
Mitigation: Intrepid stated they cannot provide reporting requirements in time for SOW. They are still determining if essential data is in SF or DWH. If DWH data is essential, the SF-only reporting strategy may need rethinking. Mitigation: scope reporting as discovery-dependent in SOW with a defined follow-up milestone. Do not block SOW on this.
Pilot scope may include services beyond Morocco — Spain/Portugal for multi-country
Mitigation: Reworded (Mar 26, Caine): scope is now "services that make up the packages going live for the Morocco pilot" — not strictly Morocco-only. This acknowledges multi-country itineraries may require Spain/Portugal services without treating it as scope creep. Data loading: Intrepid leads, Kaptio supports.
Edge Docs readiness for TM go-live
Mitigation: Mitigate by starting Edge/content design in Phase 1 (Apr 2026, Caine) so templates complete in Phase 2. Two customers in UAT, live by June. Anu rejected PandaDocs fallback.
DMC content quality — English as second language
Mitigation: Central editorial review before publishing. Manageable for single-DMC pilot.
Price breakdowns may become a hard requirement from Richard
Mitigation: Currently deferred. Edge Docs can handle category-level pricing rollup in documents without the Price Breakdowns feature. Intrepid PPP response (Mar 20) did not push back on deferral but emphasized group pricing bands and optional upgrade pricing as important — these are achievable without Price Breakdowns.
TM cost/pricing data not loaded (excluded from Phase 2B)
Mitigation: Supplier agreements, service records, and cost pricing need loading for Morocco pilot packages (may include Spain/Portugal). Data loading confirmed (Mar 26, Caine): bulk or manual entry, Intrepid leads with Kaptio supporting. Manual entry is Intrepid's responsibility. Pricing workshopping will take longer than usual.
Cancellation flow differences between TM and Group Tour — two separate flows for MVP
Mitigation: DECIDED: Legacy cancellation for TM, PLPP off initially. Cycle 15 granular PLPP (Channel and Itinerary) lets Phase 3 enable Group Touring PLPP without disrupting TM (SoW R010). No Booking Wizard for TM. Interim: two flows until TM converges later.
D365 export format not yet defined
Mitigation: Intrepid response (Mar 20): D365 template will be provided during detailed discovery — not blocking. Downgraded from medium.
Promotion validity changes when consultants modify flexible packages
Mitigation: Code-verified (Mar 13): promotions re-evaluate on every recalc. Mitigate by using Item-scoped promotions for TM. Deferred from pilot regardless.
Rounding / channel behaviour misunderstood as org-only (legacy SoW row R010)
Mitigation: RETIRED (Apr 2026, Caine): R010 was incorrect — relevant controls operate at Channel (and Itinerary, for PLPP) level, removing the prior conflict narrative. Residual gaps handled via channel settings or manual sell price overrides per service.
SOW timeline is tight — end of March with several items still unresolved
Mitigation: Significantly improved since Mar 20. Key decisions now resolved (Mar 26, Caine): cancellation strategy, content strategy, stacking, CRM handover, data loading ownership, supplier operations model. Remaining open: reporting requirements (scope as discovery-dependent), booking ref format documentation. Downgraded from high — most SOW-blocking items are now decided.
Intrepid expects seamless CRM-to-Kaptio UX (like current Starship integration)
Mitigation: CRM mapping concerns resolved (Mar 26, Caine): no concerns over Starship Opportunity mapping — workshop covers this, not SOW-dependent. Seamless booking shell UX is a workshop item. Downgraded from medium.
Open Questions (13)
Sorted by priority — high priority questions have the biggest impact on estimation confidence.
Booking reference number format — how is it generated, can Intrepid influence it?
highNew question (Mar 20). Cross-cutting: affects both TM and Core sales. Changes could impact other systems and integrations. Needs investigation: is the format configurable? What are the implications of changes?
Reporting requirements — can Intrepid confirm before SOW?
highFLAG: Intrepid explicitly stated (Mar 20) they cannot provide reporting requirements in time for SOW. Still determining if essential data is in SF or DWH. If DWH, may need to reconsider strategy. Recommend: scope reporting as discovery-dependent in SOW rather than blocking.
CRM data contract — detailed workshop needed for object/field mapping + seamless booking shell UX
mediumPARTIALLY RESOLVED (Mar 26, Caine): No concerns over mapping to Starship Opportunities — workshop will cover this, not SOW-dependent. Technical contact: Ruwantha Lankathilaka. Seamless booking shell UX and booking ref format remain open for the workshop. Downgraded from high — no longer a SOW blocker.
Morocco destinations/experiences for the first ~10 packages?
mediumIntrepid confirmed ~10 packages. Destinations to be shared during detailed discovery. No longer blocking SOW — can be discovery deliverable.
Multi-country DMC handover and combo trip differences — training item
lowRESOLVED (Mar 26, Caine): Caine will settle the confusion surrounding Combo Trips, operational itineraries, and TM vs Group Touring selling itinerary differences as a training piece. Not a technical blocker or SOW dependency. Downgraded from high.
Stacking feasibility — confirmed
lowRESOLVED (Mar 26, Caine): Stacking packages confirmed to work with payment schedules and the MVP cancellation flow. Can be added post-MVP without rework.
PLPP/cancellation strategy — decided
lowRESOLVED: Legacy cancellation for TM. PLPP off initially. Cycle 15 granular PLPP (Channel and Itinerary) for Phase 3 Group Touring without disrupting TM. No Booking Wizard for TM.
Selling itinerary — TM vs Core differences
lowRESOLVED (Mar 26, Caine): Caine will settle this as a training piece — not a technical blocker. Downgraded from medium.
Content strategy Option A — confirmed
lowRESOLVED (Mar 26, Caine): Option A confirmed. Content hosted in Kaptio for all document types (quotes, confirmations/invoices, travel docs). Intrepid works with designers on document designs per type. Kaptio supports content modelling and mapping.
Supplier data loading — confirmed
lowRESOLVED (Mar 26, Caine): Bulk or manual entry. Intrepid leads, Kaptio supports. Manual entry is Intrepid's responsibility.
Group tour combo vs FIT combo — training item
lowRESOLVED (Mar 26, Caine): Caine will settle combo trip confusion as a training piece. Not a technical blocker.
D365 import template for financial export?
lowIntrepid response (Mar 20): D365 template deferred to detailed discovery — not blocking SOW. Downgraded from medium.
Channel-level rounding — does TM need different rounding behavior from Group Tour?
lowApr 2026: SoW R010 corrected — channel-level configuration applies where the product supports it; org-only framing was wrong. Validate any remaining edge cases in discovery. Manual sell price overrides remain a fallback.
